Property Administrator

This is a Full-time position in Oak Brook, IL posted June 7, 2021.

The responsibilities of this position encompass a specific portfolio of shopping centers.

Assists the Property Manager(s) with all administrative functions concerning the management of the portfolio.

 

Performance of miscellaneous administrative duties relevant to property management inluding but not limited to: 

 
Correspondence
Filing Handling, as necessary, of client, tenant and vendor inquiries, problems and complaints in an expeditious, professional manner.
Keeping up-to-date vendor records, including insurance certificates.

Maintaining up-to-date tenant and vendor emergency contact(s).

Preparation of contracts for property maintenance and building construction.

Create, organizing and maintaining tenant files, general files and key files for each property.
Preparing and disseminating periodic management reporting packages (in conjunction with the Property Manager(s), accounting and leasing personnel.) Collecting, recording and publishing tenants’ gross sales information.

Preparation of lease abstracts for entry into both the Tenant information data base and accounting system.
 Arranging and documenting the transition of utility accounts relative to new and departing tenants; as well as reconciliation of utility deposits.
Collection and maintenance of current tenants’ insurance certificates as required by leases and client policies.

                                                         
Collection of other necessary documents for tenant files (i.e.

leases, amendments, riders, build-out and sign plans, estoppel letters, etc.) Assistance with the smooth transition of new tenant relationships from leasing, previous management, or construction/development (as the case may be) to property management.
Assistance as required with follow-through concerning legal proceedings.

Preparation of tenant estoppels, as part of owner re-financing or sale of property(s).
